How to manage scholarship applications

Once your scholarship is live and applications begin to come in, you can review, evaluate, and manage all submissions from your Applications dashboard. From start to finish.

To manage applications efficiently, follow these steps:

Step one: Navigate to the Applications section

Log in to your organization and click on ‘Applications’ in the menu.

On the main page, you will see a list of all your scholarships currently receiving applications on Scholarship Region. Scroll and click on the scholarship you want to manage.

Step two: Start your review process

The applicants' table lists the candidates who have applied for your scholarship. Here are the meanings of each column in the table:

  • Date: Shows the date the candidate submitted his/her application.

  • Name: Shows the name of the applicant.

  • Criteria score: Shows the candidate’s standing based on your selection criteria.

  • Qualification: Shows if the candidate is ‘Qualified’ or ‘Not qualified’ for your scholarship.

  • Essay: Shows the candidate’s essay score (if available as a testing method).

  • Aptitude test: Shows the candidate’s test score (if available as a testing method).

  • Interview: Shows the candidate’s interview score (if available as a testing method).

  • Final score: Shows the candidate's final score after assessment.

  • Status: Shows the applicant’s overall status in the scholarship selection.

    • ‘Pending’ means the application has been opened for review.

    • ‘Under Review’ means the application has been opened and is currently being assessed.

    • ‘Failed’ means the applicant has failed a data assessment stage

    • ‘Passed’ means the applicant has passed the data assessment stage

    • ‘Waiting List’ means the applicant has been selected as a potential winner of the scholarship

    • ‘Accepted’ means the applicant has been selected as a winner of the scholarship.

    • ‘Rejected’ means the applicant’s application has been rejected and disqualified from the process.

To start your review process, use the table filter to view only qualified candidates, and click an applicant's name to review their information and credentials.

You can edit an applicant's status right from the applicant’s detail page.

If an applicant fails a data assessment stage, change the status to ‘Failed’. If the applicant passed all the data assessment stages, change the status to ‘Passed’.

Step three: Score Essays, Aptitude test and Interview (if available)

If you have selected Essays, Aptitude tests,t or interviews as the testing methods for your scholarship, you must score them so that a ‘Final score’ can be gotten for every applicant.

To score essays, click into the applicants’ detail page and navigate to the ‘Essay’ tab. In the essay tab, you can see the essays submitted, click into them, and score them between 0 and 10.

To score aptitude tests and interviews, navigate to the ‘Aptitude/Interview’ table and score the candidate between 0 and 10.

[Note that Scholarship Region does not organise aptitude tests and interviews for scholarships.]

Organise the tests and interviews according to your specifications, and grade them. You can also explore our testing partners [insert link] to organise aptitude tests and interviews for you.

Once you have graded all the candidates, you can upload their results to Scholarship Region to derive their final scores. Ensure the scores are graded on a scale of 0 to 10. To upload the results of aptitude tests or interviews, follow these steps:

  1. From the ‘Application’ section, click on the scholarship you want to manage.

  2. Click on ‘Upload results’.

  3. Select the result you want to upload: ‘Aptitude test’ or ‘Interview’.

  4. Download the csv template and use it to format the result. It should contain the candidate’s email and score.

  5. Once the csv file is ready, click on ‘Upload’.

Once the upload is successful, the applicant’s table will be updated with the results.

Step four: Select your winners

Now that all your testing results have been uploaded, a ‘Final score’ has been derived for all the applicants, and you can now compare the performance of all of them to select the best as winners.

To select an applicant as a winner, click on the applicant’s name to open his/her application details and change the status to ‘Accepted’. Then send an email to the selected winners to inform them of their success and the next steps.
